Share a mailing list with teammates

On a Team plan, you can share a list you own with the rest of your team. Your teammates can then send to it without making their own copy. The list stays yours: there is one copy of the contacts, and you control who can see it and whether they can edit it.

Who can share

  • Only the list owner can share a list or change how it's shared.
  • You need to be in a team with at least one other member. If you're not, the sharing menu doesn't appear.
  • Google Groups lists and read-only lists can't be shared.

Share a list

  1. Open Lists.
  2. Find the list you want to share. Next to it, open the sharing menu (it starts at Not shared).
  3. Choose one of these options:
    • Team: view & send: teammates can see the list and send emails to it.
    • Team: can edit: teammates can also add, import and remove contacts, and export the list.

Your list is then labelled Shared with team.

What your teammates see

A shared list shows up in your teammates' Lists and in the recipient picker with the label Shared ยท by . If they can only view and send, the label also says (view & send).

With view & send, teammates can:

  • see the list and send emails to it.

They can't:

  • add, import, remove or export contacts (unless you chose Team: can edit),
  • rename or delete the list, or change how it's shared.

Unsubscribes stay honoured

Anyone who unsubscribed from your emails stays suppressed, whichever teammate sends to your list. If someone unsubscribes from a teammate's email to your shared list, they're also removed from your list. Emails your teammates send count against their own sending allowance.

Stop sharing

  1. Open Lists.
  2. In the sharing menu next to the list, choose Not shared.

The list disappears from your teammates' lists and recipient pickers straight away. Emails they've already sent are unaffected. A send still waiting in the queue is checked again when it goes out.

If you leave the team, your shared lists stop being shared automatically.
